Please read these Terms of Service carefully before using Your Staff Room. By accessing or using our services, you agree to be bound by these terms. If you do not agree to any part of these terms, you may not use our service.

1. Acceptance of terms

These Terms of Service ("Terms") are a legal agreement between you and Your Staff Room (ABN 38 234 407 780), the operator of yourstaffroom.com.au ("we", "us", "our").

By creating an account or using any part of our service, you confirm that you are at least 18 years of age, are an education professional or are using the service in a professional capacity, and have the authority to accept these Terms.

These Terms are governed by the laws of the state of Victoria, Australia. You agree to submit to the non-exclusive jurisdiction of the courts of Victoria.

2. The service

Your Staff Room provides a suite of AI-assisted planning tools for Australian educators, including (but not limited to):

  • Lesson Builder and Term Planner
  • Report Writer
  • Learner Profile generator
  • Behaviour Support planner
  • Social Story Builder
  • Parent Communications tool
  • Educator Wellbeing check-in
  • Research Hub and fortnightly research digest (Inner Sanctum subscribers)

We reserve the right to modify, suspend, or discontinue any part of the service at any time, with or without notice. We will endeavour to provide reasonable notice of significant changes.

We do not guarantee that the service will be uninterrupted, error-free, or available at all times. Planned maintenance will be communicated where possible.

3. Accounts and registration

Some tools on Your Staff Room are available without an account, subject to daily usage limits. Four specialist tools — the Term Planner, Learner Profile, Behaviour Support Planner and Social Story Builder — are available exclusively to Inner Sanctum subscribers. Usage limits and access tiers are described on our Pricing page and may be updated from time to time.

Inner Sanctum membership

The Inner Sanctum is a paid subscription tier. Membership is created following completion of a Stripe checkout. The features, limits and access rights of the Inner Sanctum are those described on the Pricing page at the time of your subscription. We reserve the right to add or modify features over time.

Account responsibilities

You are responsible for:

  • Maintaining the confidentiality of your account credentials
  • All activity that occurs under your account
  • Notifying us promptly at hello@yourstaffroom.com.au of any unauthorised use of your account
  • Ensuring that any content you input into our tools complies with your professional obligations, your school or employer's policies, and applicable law

Each account is intended for use by one individual educator. Accounts may not be shared or transferred.

4. Subscriptions and payments

The Inner Sanctum

The Inner Sanctum is our premium subscription tier, providing unlimited AI generations and access to additional features including saved history, the year-long outcome tracker, report comment records, amendment history, export functionality, and the fortnightly research digest email.

Pricing

Current pricing for The Inner Sanctum is AUD $12 per month (billed monthly) or AUD $99 per year (billed annually). Prices are in Australian dollars and include GST where applicable.

We reserve the right to change pricing with at least 30 days' notice to existing subscribers. Price changes will take effect at your next renewal period.

Billing

Subscriptions are billed in advance on a recurring basis (monthly or annual). Payment is processed securely by Stripe. By subscribing, you authorise us to charge your payment method on a recurring basis until you cancel.

If a payment fails, we will attempt to notify you by email. Access to Inner Sanctum features may be suspended until payment is resolved.

5. Cancellation and refunds

Cancellation

You may cancel your Inner Sanctum subscription at any time through your account settings. Cancellation takes effect at the end of your current billing period. You will retain access to Inner Sanctum features until the end of the period you have paid for.

Refunds

Due to the nature of digital services and the immediate availability of premium features upon subscription, we do not generally offer refunds for subscription fees already charged.

Exception: If you experience a significant technical failure that prevents you from using the service for an extended period (more than 48 consecutive hours) during your subscription period, please contact us. We will assess refund or credit requests on a case-by-case basis.

Australian consumer law rights apply. Nothing in these Terms is intended to limit any rights you may have under the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010 (Cth)).

Free account closure

You may close your free account at any time by contacting us. We will delete your account data in accordance with our Privacy Policy.

6. AI-generated content and disclaimers

Important: All content generated by Your Staff Room's tools is produced by a large language model (Anthropic's Claude API). Every output must be reviewed by a qualified educator before use. AI-generated content is a starting point for your professional work — it is not a finished, verified, or professionally approved document.

Not professional advice — general

Nothing generated by any tool on Your Staff Room constitutes professional advice of any kind. Our tools assist educators in drafting planning and communication materials. They are not a substitute for, and must not be used as a replacement for, the advice or assessment of a registered professional.

Tool-specific disclaimers

Given the nature of certain tools, the following specific disclaimers apply:

Behaviour Support Planner: Outputs generated by this tool are AI-drafted planning starting points. They are not Positive Behaviour Support (PBS) assessments, functional behaviour assessments, or behaviour management plans prepared by a registered psychologist, behaviour analyst, or other qualified professional. Any strategies generated must be reviewed by a qualified professional — and where required by your school, department, or regulatory body, by the student's parents or guardians — before being implemented. We accept no liability for outcomes resulting from the implementation of AI-generated behaviour support strategies.
Learner Profile: Outputs generated by this tool are AI-drafted summaries that apply publicly available occupational therapy (OT), speech pathology, and educational psychology frameworks to the context you have described. They are not OT assessments, speech pathology reports, psychoeducational assessments, or any form of clinical evaluation. They do not replace and must not be presented as a substitute for formal assessment by a registered occupational therapist, speech pathologist, or educational psychologist. These documents must not be used to make formal decisions about a student's placement, support funding, or diagnosis.
Social Story Builder: Outputs generated by this tool are AI-drafted narrative tools that draw on Carol Gray's publicly available Social Stories framework. They are not clinical speech pathology, occupational therapy, or behavioural interventions prepared by a registered professional. They should be reviewed by relevant allied health professionals supporting the student before use wherever possible, and should be used as a supplement to, not a replacement for, professional intervention.

They are not counselling, psychological therapy, mental health treatment, or medical advice. You use all AI-generated content at your own professional risk.

Your professional responsibility

You are a qualified professional. You accept full professional responsibility for reviewing, adapting, and verifying all AI-generated content before using it with students, sharing it with colleagues, families, administrators, or any third party, or submitting it in any official or regulatory context. Nothing in these Terms or in the operation of our tools reduces or transfers your professional responsibilities as an educator.

Student information and consent

When entering information about students into our tools, you warrant that:

  • You have the authority and, where required, the consent of parents or guardians to process student information using third-party AI tools
  • You have complied with your school's and employer's policies on the use of AI tools with student data
  • You have complied with applicable privacy laws, including the Privacy Act 1988 (Cth) and applicable state and territory privacy legislation
  • You will not enter full student names, dates of birth, addresses, medical record numbers, or other directly identifying information into any AI tool field

Ownership of outputs

AI-generated outputs that you have reviewed, adapted, and applied in your professional practice are yours to use for legitimate educational purposes. You may not resell or commercially redistribute raw AI-generated outputs from our tools as a standalone product or service.

7. School and institutional use

Where you are using Your Staff Room as part of your employment at a school or educational institution:

  • You are responsible for ensuring your use of the service complies with your employer's policies on the use of AI tools, including any applicable Department of Education, Catholic Education, or independent sector policies in your state or territory.
  • Your Staff Room is not affiliated with, approved by, or endorsed by any State or Territory Department of Education, ACARA, NESA, VCAA, QCAA, or any other curriculum or regulatory authority.
  • Curriculum outcome codes, syllabus references, and content generated by our tools should be verified against official sources before use in formal planning documents, moderation processes, or reporting.
  • If your school or system requires a Data Processing Agreement, Privacy Impact Assessment, or formal vendor approval before using third-party AI tools with student data, you are responsible for obtaining those approvals before using our service in that context.

School Membership

Where a school purchases a School Membership, the school (through its authorised representative) accepts these Terms on behalf of all staff who use the service under that membership. The school is responsible for ensuring all staff using the service understand and comply with these Terms, including the professional responsibility and indemnification provisions in Sections 6 and 9.

8. Acceptable use

You agree to use Your Staff Room only for lawful purposes and in ways that do not infringe the rights of others or restrict anyone else's use and enjoyment of the service.

You must not:

  • Attempt to circumvent daily usage limits or authentication systems
  • Use automated scripts or bots to access the service
  • Share your account credentials to allow multiple people to access a single subscription
  • Use the service to generate content for commercial purposes outside your own professional practice
  • Enter personally identifying information about students (full names, addresses, medical record numbers) into the AI tools
  • Attempt to reverse-engineer or extract the underlying AI prompts or system logic
  • Use the service in any way that could harm, overload, or disrupt our servers or infrastructure

We reserve the right to suspend or terminate accounts that breach these terms, with or without notice depending on the severity of the breach.

9. Intellectual property

Our content

The Your Staff Room website, branding, design, written content, and the underlying prompts and systems that power our tools are our intellectual property. You may not reproduce, copy, or distribute any part of the service without our written permission.

Your content

Any information you enter into our tools (class descriptions, student context, curriculum information) remains yours. You grant us a limited licence to use that input for the sole purpose of generating the requested output and improving our service.

We do not claim ownership of the content you generate using our tools.

Third-party intellectual property

Our tools may reference Australian curriculum documents, frameworks, and research. These documents remain the property of their respective owners (including ACARA, state and territory curriculum authorities, and academic publishers). Inclusion of references in AI outputs does not imply permission to reproduce copyrighted curriculum materials beyond fair dealing.

10. Limitation of liability and indemnification

To the fullest extent permitted by Australian law, Your Staff Room and its operator shall not be liable for:

  • Any indirect, incidental, special, consequential, or exemplary damages arising from your use of the service, however caused and under any theory of liability
  • Any errors, omissions, inaccuracies, or outdated information in AI-generated content
  • Any professional, educational, clinical, or other decisions made by you or your institution based on AI-generated content
  • Any harm — including but not limited to harm to a student, parent, colleague, or third party — arising from the implementation of AI-generated content that has not been reviewed and verified by you
  • Any inaccuracy in AI-generated curriculum outcome codes, syllabus references, or research citations
  • Any failure of AI-generated content to meet your specific professional obligations, school policies, departmental requirements, or regulatory standards
  • Any interruption, suspension, or termination of the service
  • Any loss of data, including any content you have generated or saved through the service
  • Any third-party claims arising from your use of AI-generated content in your professional practice

Our total liability to you for any claim arising out of or in connection with these Terms or your use of the service — whether in contract, tort, statute, or otherwise — will not exceed the total amount paid by you to Your Staff Room in the 12 months immediately preceding the event giving rise to the claim. Where you have not paid any fees, our liability is limited to AUD $50.

Nothing in these Terms excludes, restricts, or modifies any guarantee, right, or remedy that you may have under the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010 (Cth)) that cannot lawfully be excluded, restricted, or modified.

Indemnification

You agree to indemnify, defend, and hold harmless Your Staff Room and its operator, employees, contractors, and agents from and against any claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising from:

  • Your use of AI-generated content in your professional practice without adequate review and verification
  • Your breach of any provision of these Terms
  • Any breach of your professional obligations, school policies, or applicable law in connection with your use of the service
  • Your entry of student, employee, or third-party information into our tools in breach of applicable privacy laws or without appropriate authority
  • Any claim by a student, parent, employer, or regulatory body arising from AI-generated content you have used, shared, or submitted

This indemnification obligation survives the termination of your account or these Terms.

11. Changes to these terms

We may update these Terms of Service from time to time. We will notify registered members of material changes by email at least 14 days before the changes take effect.

Your continued use of the service after any changes to these Terms constitutes your acceptance of the updated Terms. If you do not agree to the updated Terms, you must stop using the service.

The current version of these Terms will always be available at yourstaffroom.com.au/terms.html. The date of the most recent revision is shown at the top of this page.
